2 Quick ways Microsoft 365 Copilot can help prepare for a meeting

Welcome to a new series about productivity and efficiency using Microsoft 365 Copilot!

Very often in our workday we’re back to back in meetings, with little to no time to prepare anything. That’s when Microsoft 365 Copilot can help greatly.

Scenario

In our scenario, John Smith (dummy user) will schedule a meeting with another user (myself 😁) to review a Financial Report (dummy data). Let’s see how I can prepare for this meeting, when I don’t have the time to review the report.

Outlook

One way to prepare for the meeting will be directly from Outlook. Click on the Copilot icon, then “Help me prepare for my meeting […]

Then, select the Meetings tab and choose the meeting your want to prepare for, and click Send (next to the microphone button)

We now have details about the meeting, and also some background (if any). In my case, I had received an email from John Smith prior to this meeting being scheduled.

At this stage, I still haven’t had time to review the file. From that point on, you can either use the suggestions from Copilot to get some insights, or use your own. Let’s start by choosing a copilot suggestion: “What are the necessary changes or insights?

Now let’s be more specific and create our own prompt: “What are the 5 best products sold for each country?

The suggestions will adapt, and are a good way for you to dig a bit more into file 🙂

Business Chat (BizChat)

This Contoso Financial report is currently located on a SharePoint site when both, John and myself have access to. That means that we can also use BizChat to prepare for this meeting.

We can start an entire conversion from the beginning!

We could ask the same questions as we did in Outlook, but let’s understand the file a bit better financially this time.

Now we understand a bit better about what’s in the file.

You can ask more targeted questions: “What is the best year for for Canada in Midmarket?

Copilot will give you an explanation instead of just “throwing” the year. This is a valuable functionality when you need to understand why 2014 was the best year in that case.

And you can keep going to have a full view before joining the meeting and be prepared in a matter of minutes!
